Invoicing + Payments

Get paid while you're
still in the truck.

Send an invoice from your phone. Customer taps 'Pay now' and lands on a Stripe-backed page — card, ACH, Apple Pay. QuickBooks sync, auto-reminders, scheduled payments, and a deposit slip that doesn't lie.

+10%
Invoices paid on time

Tap-to-pay link in every invoice. Customer pays from the couch instead of mailing a check.

−6 days
Average days-to-paid

Auto-reminders + saved cards + Apple Pay shave most of the chase off receivables.

$2.50
Per-invoice cost

Median Stripe fees on a typical $425 home-service ticket. Under 1%. ACH is half that.

How it works

Invoice. Tap. Paid.

Built for shops where the same person who closes the job also writes the invoice.

1

Send from the truck

Job complete. Tap 'invoice'. Whitrack pulls the line items from the signed quote, applies any change orders, and renders a clean PDF.

2

Customer taps 'Pay now'

Branded payment page. Card, ACH, Apple Pay, Google Pay. Saved payment methods for repeat customers. SMS + email receipt.

3

Auto-reminders if not paid

Configurable cadence: 3-day nudge, 7-day reminder, 14-day overdue. Plain-English copy that you actually want sent on your behalf.

4

Books update themselves

QuickBooks Online sync (Pro+) pushes the invoice and payment in real time. GL mappings respected. AR aging reflects reality.

What's in it

All the ways customers pay.
None of the things you hate.

Stripe cards + Apple Pay

Industry-standard processing rates. Apple Pay and Google Pay both supported. Saved cards on repeat customers.

ACH (Plaid-verified)

Lower fees on big invoices. Bank-account verified ACH for $2k+ tickets. Funds settle in 2 business days.

Cash + check tracking

Mark a payment as cash or check. Whitrack tracks the deposit, syncs to QuickBooks, never argues with the bank reconciliation.

Smart auto-reminders

Configurable cadence per customer or per job. Stops as soon as paid. Plain-English copy, your brand voice.

QuickBooks Online sync

Two-way sync of customers, invoices, and payments. GL mappings, refresh-token rotation, line-item-level account assignment.

Partial payments + write-offs

Customer pays half today, the rest on a schedule. Write off small balances when a job's done. Books stay accurate.

Branded receipts

Every payment gets a clean receipt — your logo, your colors, your warranty terms. Auto-emailed and stored in the job record.

Tax + tip handling

Tax calculation by service area. Optional tip line for tipping trades (cleaning, lawn, etc.). All flows correctly to QBO.

FAQ

The questions shops actually ask.

Standard Stripe rates: 2.9% + $0.30 for cards, 0.8% capped at $5 for ACH. We don't mark them up. Apple Pay rides on the card rate. International cards are slightly higher.

Yes. Stripe Terminal lets you tap-to-pay on your iPhone (no separate hardware) or use a Stripe reader at the desk. Same fees, same flow, lands in the same job record.

Customers and invoices push from Whitrack to QBO. Payments sync both ways — if you record a check in QBO, it flows back to Whitrack so the AR view doesn't lie.

You configure the schedule (3-day nudge, 7-day reminder, 14-day overdue, or custom). Each shop's voice — we don't ship aggressive collections copy by default. Reminders stop the moment payment hits.

Yes. Deposit invoices are first-class. The remainder invoice automatically subtracts the deposit and the customer only pays the balance.

Stripe handles disputes; Whitrack surfaces them in your inbox with full job context (signed quote, photos, timestamps, conversation history) — most disputes are won with the audit trail Whitrack already has.
